Torch Relay Coordinator, Empire State Winter Games

The Adirondack Sports Council (ADKSC), the official organizing committee to the 2025 Empire State Winter Games, is hiring support staff to assist in the organization, planning, management, and execution of the 2025 Empire State Winter Games torch relay. Beginning January 24, 2025 and traveling throughout New York state, the 12-stop tour will begin in Buffalo and culminate January 30, 2025 in Lake Placid.

Position Type: Part-time/Contract

Contract Dates: January 15-January 31, 2025

The ADKSC is a not-for-profit organization established in New York State’s Olympic region, Lake Placid. Its leadership team combines decades of sport event management, sustainability expertise, and creative engagement strategies that deliver world-class experiences to communities and organizations across the state and beyond.

Summary:

The ADKSC is seeking highly organized, dynamic, and energetic individuals to assist in the organization, planning, management, and execution of the 12-stop Empire State Winter Games (ESWG) torch relay. The torch relay is one of the most important traditions of the annual ESWG, now in its 45th year. The torch relay kicks off the week before the ESWG and arrives in Lake Placid in time for its opening ceremony.

Reporting to the ADKSC’s Empire State Winter Games Torch Relay Director, these individuals will work in close collaboration with other key individuals responsible for the overall planning, management, and execution for each ESWG torch relay stop. These individuals will also provide content to ESWG social media platforms, Facebook, X (formerly Twitter), and Instagram in the form of, but not limited to photography and video.

Key Responsibilities:

• Work as a team player with each torch relay support staff colleagues for each ESWG torch relay stop.

• Assist in the planning, execution, and overall management processes for each torch relay location.

• Ensure all torch relay stops are appropriately permitted where appropriate.

• Lead and develop video and photography assets for each torch relay stop.

• Provide content to ESWG social media platforms, Facebook, X (formerly Twitter), and Instagram in the form of, but not limited to photography and video.

• Collaborate with ADKSC staff, key stakeholders, and on-site coordinators to ensure smooth functioning of torch relay event operations.

• Manage the organization, sorting, distributing, and collection of ESWG’s branded staff and volunteer uniforms and giveaways.

• Oversee the distribution of ESWG’s branded staff and volunteer uniforms and giveaways for each location.

Qualifications:

• Experience in event management.

• Demonstrated skills in management, leadership, negotiation, and budgeting.

• Excellent communication, organization, and leadership skills.

• Proven ability to manage budgets effectively.

• Valid driver’s license.

Working Conditions:

• Willingness to work flexible hours, including evenings and weekends and extended travel

• Ability and willingness to travel up to 100% of the time during ESWG’s torch relay tour.

• Work is performed in outdoor environments.

• This role will require some physical efforts during event periods with the ability to lift 50 lbs. or more.
